Before we switch it on
A ready-to-run 75-minute session for a team about to bring in AI, already using some without a plan, or wanting to start. The team leaves with its own AI rules in its own words. Each person leaves knowing what's OK to use from Monday, and who to ask.
| Part | What happens | Full | Short |
|---|---|---|---|
| 0 | Opening and ground rules | 5 min | 3 min |
| 1 | The scene: something AI did well, and what nobody saw | 8 min | 5 min |
| 2 | What we already use: anonymous slips, never read aloud | 12 min | 8 min |
| 3 | The rules we didn't know we had | 20 min | 12 min |
| 4 | Who checks what, and how long it takes | 18 min | 10 min |
| 5 | Agree and close | 12 min | 7 min |
The rules we didn't know we had.
Every team already has rules about AI. They're just not written down. In pairs, one rule per sticky note, in your own words:
- What would you never paste into an AI tool, even if nobody had told you?
- What do you always check before AI work goes out?
- When do you stop and ask someone? Who do you ask? (A role, not a name.)
- What should AI never send, decide or promise on its own here?
- What would make you trust a tool more, or try one for the first time?
The host groups the notes out loud, and only puts notes together if they'd lead to the same action. Where a rule would stop someone doing their job, it becomes a condition: "only into the approved tool", not "never". Everyone gets three dots for the rules to keep. A checking rule that only one person could write, because only they do that job, goes on without dots unless someone objects. Seven rules at most.
The host says: "These are our rules, in our words. If we have a company policy, it still applies. If we don't have one yet, these are the starting point."
Also in the pack
Host notes, with an interim rule to agree beforehand and what to do if personal data turns up; a briefing for the most senior person; the opening scene; a version for leaders who haven't decided yet; the Hot Seat option; and three printable sheets.
Who it's for
Any team of 4 to 15, in any department, including contractors and people who don't use AI yet. Anyone who'd like to start gets one approved tool and half an hour with someone who uses it. No slides, no training needed.
