Example · Team Pack 1

What a team ends up with.

At the end of Before We Switch It On, the team fills in one sheet in its own words. This is an invented example from a twelve-person print and design studio, written the way real teams write: short, specific and a bit untidy.

Sheet B · Our AI rules

Team: Studio + accounts   Date: Thurs 5 Nov

  1. No client names, addresses or prices into anything on a personal account. Work Copilot only.
  2. Any quote or price AI helped with gets checked against the CURRENT price list before it goes. Every time.
  3. Artwork proofs: a person reads every word. AI spellcheck doesn't count as checking.
  4. If you're not sure, ask Dev (studio) or Jo (accounts). Asking isn't a problem.
  5. AI never sends anything to a client by itself. Drafts only.
  6. Say when something was AI-drafted, so the checker knows what to look for.
  7. Try it on boring stuff first (meeting notes, supplier emails), not on the work clients see.
Until we decide: nothing with customer details into free tools. Sam tells us which tools by 20 Nov.
Happy to use: Copilot (work account), Canva for mock-ups
Checking first: the free chatbot two of us use for emails. Sam + Jo decide by 20 Nov
Checking time to watch: quotes now take Jo about 20 min each to check (was 10)
Keep doing ourselves: first drafts of quotes. New starters work it out by hand before AI checks it, so they learn the pricing
Owner: studio manager (agreed, swaps out the Friday stock count)   Review: 5 Feb
Initials: SB   JT   DK   RM   AL   PW   CH

What changed afterwards

In this example: a work account replaced the personal ones, quote checking became part of one person's job rather than whoever noticed, and two people who hadn't used AI were shown how to try it on meeting notes.

Three months later

Three Months In picks this sheet up again: which rules held, which got bent, how much time AI really saves and adds, and version two of the rules.

An invented example for illustration. Every team's sheet is different, because every team writes its own.
